How to Download and Share Your USI VET Transcript in Australia
Get a free, government-authenticated record of your nationally recognised VET training and choose whether to share your full transcript or an extract.
Helpydo structures practical guidance around official or public sources. For individual cases, confirm requirements with the responsible institution.
Sign in to your activated USI account through the Student Portal, select View VET Transcript and choose all records or only the records you need. Download the transcript as a PDF. To let someone verify it online, create a viewable transcript and set an access period between one week and six months.
What you need
- Your Unique Student Identifier (USI) and access to your activated USI account.
- A password and the account's required sign-in verification.
- A decision about whether to include every available training record or create an extract.
- If sharing an authenticated online record, an access period and a way to send the downloaded transcript to the recipient.
Eligibility
USI account holders with an activated account can access their VET transcript. It records nationally recognised vocational education and training reported against their USI since 1 January 2015. A VET transcript does not show university studies or training completed before 2015.
How to do it
- Sign in to the USI Student Portal. If someone created your USI for you and you have not activated the account, activate it first.
- Select View VET Transcript, read and acknowledge the Transcript Disclaimer, then select Next.
- Select all available training records for a full transcript or select specific records for an extract. Choose Download Transcript.
- If the recipient needs to verify the record online, select Yes when asked whether to create a viewable VET transcript. Choose an access period between one week and six months, then select Next and Continue.
- Download and save the PDF. Share it only with the intended recipient. A viewable PDF includes a link and QR code for access to the authenticated online record.
Where do you get your USI VET transcript?
Your USI VET transcript is free and available through your USI account in the Student Portal. It brings together nationally recognised vocational education and training reported against your USI since 1 January 2015. You need an activated USI account to access it. If you do not have a USI yet, see how to create a USI.
How do you download a full transcript or an extract?
Sign in to the Student Portal and select View VET Transcript. After reading and acknowledging the Transcript Disclaimer, use the checkboxes beside your records to select everything for a full transcript or selected training for an extract. Select Download Transcript and save the resulting PDF.
The record can help demonstrate qualifications or prerequisites to an employer or training provider. It does not replace a certificate or statement of attainment issued by a registered training organisation.
How do you share a transcript someone can verify online?
During download, select Yes when asked whether to create a viewable VET transcript. Choose a viewing period of one week to six months, then confirm and download the PDF. The viewable transcript contains a clickable link and QR code that the recipient can use to reach the authenticated online record. If you select No, the downloaded PDF will not include that verification link or QR code.
You can change the viewing period or cancel access before its expiry. An update to your personal details or training also causes the viewable transcript to expire; create and share a fresh copy if the recipient still needs access. A recipient should not pass your transcript to another party without your permission.
What if the transcript is incomplete or incorrect?
Recent training may be absent because registered training organisations report to national VET collections quarterly or annually. For missing or inaccurate training, contact the organisation that delivered it; each training organisation can correct only its own records. Training before 2015, university qualifications and training that is not nationally recognised are outside the VET transcript.
If the name on the transcript is wrong, update your personal details in the USI Student Portal using valid identification. See the separate guide to updating your USI details.
Frequently asked questions
Is a USI VET transcript free?
Yes. The USI Office describes it as a free, government-authenticated record available through an activated USI account.
Can I share only one qualification instead of my entire transcript?
Yes. Select the relevant training records in the Student Portal to create a transcript extract.
How long can someone view an authenticated transcript?
You can set a viewing period between one week and six months, change it or cancel access before it expires.
Why can an employer no longer open the transcript I sent?
The viewing period may have expired, you may have cancelled access, or changes to your personal details or training may have expired the viewable record. Create a new copy if needed.
Will my university qualification appear on my USI VET transcript?
No. The VET transcript covers reported nationally recognised vocational education and training, not university studies.
Who fixes a missing VET course or qualification?
Contact the registered training organisation that delivered the training. If records from several organisations are affected, contact each one about its own records.
